Listen’s New York office is growing! We are looking for an Executive Assistant to join us in providing administrative support to the company Partners. The position requires strong attention to detail, organizational skills, and a demonstrated ability to respond effectively and efficiently while maintaining flexibility and composure. The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture. The ideal candidate must be able to work successfully in a team environment and build effective working relationships inside and outside the group.


Serve as the primary relationship owner for all growing and potential client opportunities and manage company-wide marketing efforts. Deliver strategic work that tells a powerful story about Listen, our clients and projects. Support company Directors and lead day-to-day management of all aspects of business development and marketing, including client outreach and communication, creation of proposals, PR and brand marketing. Manage and coordinate all business objectives in accordance with established Listen processes.


  • Support partners with business development and company growth responsibilities
    • Special projects, marketing and communications, IP and new business initiatives
  • Strategically manages the Partners’ time including managing calendars and scheduling meetings with internal staff and clients
  • Prepare for and follow up on meetings:
    • Prepare leaders for upcoming meetings by ensuring they have all the information necessary to be productive and engaged
    • Coordinate agendas for approval prior to meetings
    • Create and organize meeting prep materials, including documents, presentations, etc. for internal and external meetings
  • Manage receipts, and expense report coordination and submission
  • Coordinate client meetings, including scheduling, preparation of conference room, and meal coordination
  • Manage domestic and international travel including flights, hotels, and ground transportation


  • 2+ years of prior Executive Assistant experience
  • Experience providing executive support assistance at Senior management level
  • Experience designing processes to maximize efficiency
  • Strong ability to prioritize and handle multiple assignments at any given time
  • Strong organizational, communication and interpersonal skills
  • High levels of integrity and discretion
  • Impeccable attention to detail
  • Fluency in GoogleSuite, Dropbox, Slack, and Office365 applications
  • Crystal clear communication in all mediums – email, phone, in-person
  • Ability to execute with little direction
  • Exceptional organizational skills
  • Ability to maintain confidentiality
